AIEEE 2009 : Admission Procedure

The admission process involves the following FOUR steps:
I. Online registration,
II. Online choice filling and locking
III. Seat Allotment and Remote Reporting at Admission Centre
IV. Reporting at the allotted Institute

I. ONLINE REGISTRATION (June 8 – 28, 2009)

During this step all the candidates who are permitted for choice filling and locking on the basis of AIEEE-2009 results are required to register ONLINE through Internet (www.ccb.nic.in) from places of their convenience.

Arrangements are made at all the Participating Institutions for guidance. Candidates may seek guidance and do their registration, choice filling and Locking at these Institutions during working hours. The list of these institutions is given in Table-6

The detailed procedure is described below:
1. A candidate has to open the website www.ccb.nic.in and click on “Registration”.
2. Engineering and Architecture streams will appear on the computer screen; click on the desired stream.
3. Register as a new candidate by clicking on “New candidate!! Register here” link. Read the instructions given on the screen and click on “Register”.
4. The candidate will register online by entering the following as indicated in the Admit card:
(a) Name
(b) Roll number
(c) Application number
(d) Date of Birth

* This data submitted by the candidate will be verified with the AIEEE – 2009 data base of CBSE and if it matches then only the candidate will be permitted to  proceed further and the candidate is required to give his own password.
* The length of the password must be of EIGHT characters and must be a combination of alphabetic characters (small or capital), numeric characters and special characters. Password will be case sensitive.
* Next time, the candidate can login directly with Roll number as login ID and the chosen password as Password. Whenever the candidates login, they have to LOGOUT at the end.
* Candidates are advised to record/remember their password for all future Logins.
* Confidentiality of the password is the sole responsibility of the candidate and all care must be taken to protect its security.
* Candidates are advised not to disclose or share their password with anybody. Neither CCB nor NIC is responsible for violation or misuse of the password of the candidate.
* If a candidate forgets his/her password, the additional information provided by the candidate at the time of registration will be used to get the new password. Hence, every candidate has to enter the required additional information as indicated in the registration form at the time of registration.
* A candidate can change his/her password after login, if desired.

5. After login, the personal data of the candidate will automatically appear on the screen as per AIEEE-2009 data base. The candidate must verify his/her personal data. If there is any discrepancy, the candidate will be allowed only once to change his/her personal data of category, sub-category, etc. in the following ways:

* Category can be changed from (SC/ST/OBC) to open but vice versa is not allowed.
* Sub Category can be changed from SCPH to SC, STPH to ST, OBCPH to OBC and OPPH to OP, but vice versa is not allowed.
* State of eligibility as per the qualifying examination can be changed.
* Change of gender is permitted if it is wrongly mentioned.
* Candidates must enter their address for correspondence. Candidates may also enter their phone number, mobile number, email, etc. In case a candidate desires to get   his/her provisional seat allotment result through SMS, candidate must enter mobile number.

6. The following changes are not permissible under any circumstances

* Candidate’s name
* Mother’s name
* Father’s name
* Date of birth

* Candidate can take a printout of the registration form with the above personal data.
* It is the sole responsibility of the candidate to verify his/her personal data, including category, subcategory, state of eligibility and gender as per documentary evidence. By changing the category, sub category, state of eligibility and gender, eligibility of the candidate may change. CCB/NIC is not responsible for any omissions in the details and its consequence thereafter.
* If the personal data verified and submitted by the candidate is found to be wrong at the time of verification of certificates during remote reporting or at a later stage, the allotment of seat/provisional admission is liable to be cancelled.
* Once this personal data is verified and submitted, the candidate will not be allowed to change the personal data under any circumstances.

II. ONLINE CHOICE FILLING AND LOCKING (June 8 – 28, 2009)
During this step all the registered candidates are required to exercise their choices of their branches and institutions in their order of preference. The detailed procedure is described below:

1. The procedure for exercising choices and seeking pertinent information is guided through appropriate messages and tabs on the computer screen.

2. As per the eligibility of the candidate, available seat information relating to institutions, disciplines (Engineering / Technology and Architecture / Planning), branches (e.g., Electronics Engineering, Computer Science, etc.) will be displayed.

3. The candidate can give as many number of choices in the order of preference as he/she wishes from the list of available seats.

4. The candidates are permitted, if they so desire, to change or re-order their choices, delete earlier choices and add new choices any number of times until they lock their choices on or before June 28, 2009 by 11.55PM.

5. INDICATIVE SEAT ALLOTMENT (June 8 – 24, 2009)

Based on the number of registered candidates who have submitted their choices at that time, indicative seat allotment will be shown. This indicative seat allotment (Mock counselling) will facilitate the selection of the most appropriate discipline, institution and branch at the candidate’s rank, state of eligibility and in their categories for finalization of their choices for locking.

The indicative seat allotment will be done during June 8 – 24, 2009 and will be put on the web at frequent intervals. The dates of update of indicative seat allocation will be displayed on the website during this period.

All the candidates are strongly advised to register and fill their choices during the above period to know the indicative seat allotment.

6. LOCKING OF THE CHOICES (June 8 – 28, 2009)

After filling the choices in the order of preference, the candidate must lock his/her choices. Without locking, the choices will not be processed for seat allotment. Hence, all the candidates MUST lock their choices on or before June 28, 2009 by 11.55PM.

However, candidates are advised to lock their choices well in advance instead of waiting till the dead line.

If a candidate fails to lock his / her choices on or before June 28, 2009 by 11.55 PM, the choices filled by the candidate will not be considered for seat allotment, and the candidate shall forego his / her right for consideration of his/her candidature for seat allotment.

After locking of the choices, the candidates can not change their choices under any circumstances.

After locking of the choices, a printable version of the choices is displayed. A print-out of these locked choices is to be preserved by the candidate for future reference.

After locking the choices, if a candidate logs in again, then the locked choices given by the candidate only will be displayed.

III. SEAT ALLOTMENT AND REMOTE REPORTING AT THE ADMISSION CENTRE

During this step, the choices submitted by the candidates will be processed centrally and seats will be allotted in the order of merit based on their locked choices. The allotment result will be available on the website www.ccb.nic.in. No individual allotment letters will be sent to the successful candidates. The successful candidates have to go to any one of the designated admission centres for remote reporting.

The allotment will be made in four rounds. In the First round, all the seats will be allotted to the candidates and the result indicating the institution and the branch allotted will be available on the website. In the Second, Third and Fourth rounds, seats will be allotted against the available vacancies in the respective rounds, and the results will be available on the web site. In the second, third and fourth rounds no fresh registrations and choice filling will be permitted. Registered candidates will not be allowed to alter or resubmit their choices.

If a candidate gets seat allotment under all India quota and OPEN category in any round against his/her first preference in the list of choices given by him/her at the time of choice filling, the candidate is not eligible for consideration in subsequent rounds of seat allotment.

If a candidate gets seat allotment in any round against his/her preference in the list of choices given by him/her at the time of choice filling under SC/ST/OBC category or PH subcategory, the same preference will be considered in subsequent rounds against vacant seats in OPEN category only as per the eligibility, even though the candidate has not given willingness to consider his/her choices for the subsequent rounds. In this case there will not be any change in the allotted seat, except for the change in category from SC/ST/OBC or PH sub category to OPEN category.

If a candidate gets seat allotment in any round against his/her preference in the list of choices given by him/her at the time of choice filling under home state quota, the same preference will be considered in subsequent rounds against vacant seats in All India quota as per the eligibility even though candidate has not given willingness to consider his/her choices for the subsequent rounds. In this case there will not be any change in the allotted seat, except for the change in quota from Home State to All India.

A candidate, who took provisional admission against an allotted seat by getting the documents verified and paying the initial fee, cancels his/her seat at any stage, he/she will not be considered for further rounds of seat allotment.

If a candidate fails to satisfy the minimum educational qualifications prescribed (10 + 2 or equivalent), his / her allotment of the seat shall automatically stand cancelled and the candidate shall not be allowed for the next rounds of seat allotment.

3.1 First Round of allotment

The choices submitted by the candidates will be processed centrally and the results will be available on the website www.ccb.nic.in on 30th June 2009. No individual allotment letters will be sent to the successful candidates.

For provisional admission, the candidates who got seat allotment have to report to any one of the designated Admission Centers (Table – 5) for Remote Reporting during 1st – 5th July, 2009, failing which their seat allotment shall automatically stand cancelled and the candidate will not be considered for further rounds of seat allotment. The seats thus falling vacant (called vacant seats) will be considered for allotment in the subsequent rounds of allotment.

The candidates have to do the remote reporting only at any one of the designated admission centres.

Remote Reporting Procedure

The successful candidates have to report to any one of the designated admission centers for remote reporting. The detailed procedure is as follows:

1. VERIFICATION OF DOCUMENTS

The candidates will have to report at any one of the designated admission centres for verification of their Original documents. The following documents and credentials in original will be required:

1. Score Card issued by CBSE/ Admit Card of AIEEE-2009.
2. Class X (High School) Board Certificate as proof of date of birth.
3. Pass Certificate and Marks sheet of qualifying examination.
4. Certificate of category (OBC / SC / ST), if applicable, issued by the competent authority (Annexure I / II).
5. Certificate for Physically Challenged (PH) issued on or after January 1, 2009 (Annexure III).
6. Passport of the candidates who have passed qualifying examination from outside India for determination of the State of Eligibility.
7. Proof of place of examination centre of the final examination from the National Open School for candidates having Senior Secondary Certificate for determination of
the State of Eligibility.

Note: If the original certificates are not in Hindi / English, duly certified Hindi / English version / translation of such certificates will be required.

Candidates are required to submit two sets of self attested copies of all the certificates and two passport size photographs identical to the one pasted on the AIEEE 2009 application form.

If the personal data viz. category, subcategory, state of eligibility and gender submitted by the candidate at the time of registration is found to be wrong at the time of verification of the original certificates in remote reporting at admission centres, his / her allotment of the seat is liable to be cancelled.

In case of such a candidate, after obtaining an undertaking from the candidate, his/her personal data of category, sub-category, etc. will be updated in the following ways:

* Category can be updated from (SC/ST/OBC) to Open but vice versa is not allowed.
* Sub Category can be updated from SCPH to SC, STPH to ST, OBCPH to OBC and OPPH to OP, but vice versa is not allowed.
* State of eligibility as per the qualifying examination can be updated.
* Update of gender is permitted, if it is wrongly mentioned.

Any update in the candidate’s name, mother’s name, father’s name, date of birth, OP to SC/ST/OBC, SC to ST, ST to SC, OBC to SC/ST, SC/ST to OBC, SC to SCPH, ST to STPH, OBC to OBCPH and OP to OPPH shall not be permitted under any circumstances.

Based on the updated personal data, if the candidate is eligible he/se is allowed for the next rounds of seat allotment for the available vacant seats only.

2. INITIAL FEE PAYMENT

An initial fee of Rs.25,000/- (Rupees Twenty five thousand only) will be collected at the designated admission centres for provisional admission. The payment is to be made through demand drafts only. This initial fee is to be made through two demand drafts, one for Rs.24,000/- and the other for Rs.1000/-. The demand drafts are to be drawn in favour of “Chairman, CCB – 2009”, payable at Warangal. The amount of this initial fee would be adjusted towards the total fee payable by the candidate at the allotted institution.

3. WILLINGNESS TO CONSIDER THEIR CHOICES IN THE NEXT ROUNDS

After taking the provisional admission against allotted seats, candidates may give one of the following two options for willingness to consider their choices in the next rounds of seat allotment against the vacant seats:

I. List of all higher preferred choices
II. List of higher preferred choices within the institute only.

If a candidate gets a seat of his/her higher preferred choices in the next round of allotment, the candidate shall forego his/her claim on the previously allotted seat.

The candidate will not have an option of choosing between the seats allotted in the previous round and next round.

The willingness given by the candidate will be considered against seats falling vacant in all the subsequent rounds to get his/her higher preferred choice.

4. PROVISIONAL ADMISSION LETTER

This provisional admission letter indicates the personal details of the candidate, details of the institution and branch to which the candidate has been provisionally admitted, initial fee payment details and willingness of the candidate to consider his/her choices in further rounds of seat allotment.

The candidate has to collect the provisional admission letter and preserve it for further reference.

However, final Provisional allotment letter of the candidates with latest seat allotment will be available on the website www.ccb.nic in after the fourth round of seat allotment.

5. MULTIPLE ALLOTMENT:

The candidates who have been allotted seats in both Engineering and Architecture disciplines will be given option to retain any one allotment of their choice and other allotment shall automatically stand cancelled. If a candidate takes provisional admission against an allotted seat in one of the streams and gets an allotment for the other stream in the next rounds of seat allotment the candidate will be given an option to choose any of these two and the other shall automatically stand cancelled.

3. 2 Second Round of Allotment (Allotment against Vacant Seats)

Second round of seat allotment will be made against the vacant seats available after the first round of allotment and remote reporting.

Eligible candidates for allotment against vacant seats fall into the following three groups:

Group – I: Registered Candidates who are not allotted any seats in the first round of seat allotment.

Group – II: Candidates who took provisional admission in the first round of allotment and submitted willingness to consider their choices for getting higher preferred choice from their choice list (already given by the candidate at the time of choice filling).

Group – III: Candidates who took provisional admission in the first round of allotment under Home State quota or SC/ST/OBC category or PH subcategory against his/her preference in the list of choices given by him/her at the time of choice filling even though willingness is not submitted.

The choices submitted by these eligible candidates will be processed centrally as per the merit rank and the results will be available on the website www.ccb.nic.in on July 7, 2009.

The candidates of Group – I, who have got seat allotment in this round, are required to do remote reporting during 8th – 12th July, 2009, failing which their seat allotment shall automatically stand cancelled and the candidate will not be considered for further rounds of seat allotment. The remote reporting procedure (verification of certificates, initial fee payment and willingness to consider the choices for the next rounds) is similar to that of first round of seat allotment.

The candidates of Group – II and Group – III, who have got seat allotment in this round, are not required to do remote reporting. They have to wait for the next round of allotment.

In this case of candidates of Group-III, there will not be any change in the allotted seat, except for the change in category / quota.

3. 3 Third Round of allotment (Allotment Against Vacant Seats)

Third round of seat allotment will be made against the vacant seats available after the second round of allotment and remote reporting.

Eligible candidates for allotment against vacant seats fall into the following three groups:

Group – I: Registered Candidates who are not allotted any seats in the first and second rounds of seat allotment.

Group – II: Candidates who took provisional admission in the first or second round of allotment and submitted willingness to consider their choices for getting higher preferred choice from their choice list (already submitted by the candidate at the time of choice filling).

Group – III: Candidates who took provisional admission in the first or second round of allotment under Home State quota or SC/ST/OBC category or PH subcategory against his/her preference in the list of choices given by him/her at the time of choice filling even though willingness is not submitted.

The choices submitted by these eligible candidates will be processed centrally and the results will be available on the website www.ccb.nic.in on July 13, 2009.

The candidates of Group – I, who have got seat allotment in this round, are required to do remote reporting during 14th – 18th July, 2009, failing which their seat allotment shall automatically stand cancelled and the candidate will not be considered for further rounds of seat allotment. The remote reporting procedure (verification of certificates, initial fee payment and willingness to consider the choices for the next rounds) is similar to that of first round of seat allotment.

The candidates of Group – II and Group – III, who have got seat allotment in this round, are not required to do remote reporting. They have to wait for the next round of allotment.

In this case of candidates of Group-III, there will not be any change in the allotted seat, except for the change in category / quota.

3. 4 Fourth (OPEN) Round of Allotment (Allotment against Vacant Seats)

In this round the STATE SPECIFIC vacant seats will be converted to ALL INDIA seats wherever is applicable and seat allotment will be made.

Eligible candidates for allotment against vacant seats fall into the following three groups:

Group – I: Registered Candidates who are not allotted any seats in any of the previous rounds of seat allotment.

Group – II : Candidates who took provisional admission in any of the previous rounds and submitted willingness to consider their choices for getting higher preferred choice from their choice list (already submitted by the candidate at the time of choice filling).

Group – III: Candidates who took provisional admission in any of the previous rounds of allotment under Home State quota or SC/ST/OBC category or PH subcategory against his/her preference in the list of choices given by him/her at the time of choice filling even though willingness is not submitted.

All the candidates of Group-I, Group-II and Group-III who have got seat allotment in this round are required to go directly to their allotted institutes during 20th – 24th July, 2009.

There is no remote reporting facility during this period. In this case of candidates of Group-III, there will not be any change in the allotted seat, except for the change in category / quota.
